What business automation costs, and when to do it yourself.

For a small business that wants to stop retyping, business automation cost comes down to who builds it and who keeps it running. Here is how a fixed-price build compares with doing it yourself, a sync your apps already have, or a virtual assistant.

Four ways to stop retyping.

Use the sync you already have

Usually included in what you pay. If your job app already sends invoices to your accounting software, switch that on first; it may be all you need.

Do it yourself in Zapier or Make

A monthly subscription that grows with use, plus your time to build it and fix it when a step fails or a connection expires.

Hire a virtual assistant

An hourly or monthly rate for as long as the work exists. Good for judgement calls, but the retyping still happens.

When doing it yourself is the better choice.

If the job is one trigger and one action, like a form entry becoming a row in Google Sheets, and both tools have ready-made Zapier or Make connectors, try it yourself first. If the process changes every week, keep doing it by hand and write down the steps.

A build earns its price when the job runs often, touches three or more tools, has awkward exceptions or is costing you evenings. Use your own numbers: hours a week, times what an hour of your time is worth, times the weeks you work in a year. Compare that with the price plus any tool subscription.

A clear scope. A fixed price.

First Automation

A$1,900 fixed

One repetitive job taken off your plate, like email replies drafted in your business's set wording, or a monotonous task made quicker and easier. It's built, tested and handed over to you. Timeframes vary with the job.

From the annoying job to a working tool.

  1. 1. Tell me

Show me what you do now. A free call helps me understand the job and whether a single automation, the Ops Pack or a scoping session fits.

  2. 2. I build

I agree the scope and price with you, then build it. You check it with real examples before it goes live.

  3. 3. It goes live

I hand over the working tool and a guide, with a follow-up check-in at an agreed time.

Straight answers.

How much does business automation cost?

With me, one workflow is A$1,900, fixed and paid upfront. More automations are A$1,500 each, or three for A$4,500 (A$5,500 with three months of care). Custom tools and dashboards start from A$6,000 after a paid A$390 discovery that is credited to the build. Timeframes vary with the job.

How much does a Zapier expert cost?

Freelancers usually charge by the hour or by the project, so ask for a total before they start. My price is fixed per workflow, so you know the total up front.

Is Zapier worth it?

For simple jobs between common apps, often yes, and you should try it. When steps start failing quietly or the monthly bill keeps climbing, a fixed-price build is worth a look.

How much does a virtual assistant cost?

VAs charge by the hour or by a monthly block, for as long as you need them. Compare that ongoing cost with a one-off build for jobs that follow the same steps every time.

Will it work with my tools?

Most likely. I check what your tools support before you agree to a price, and tell you if two of them already sync.

What if it doesn't work?

Tell me. I fix it first. If I can't fix it within a reasonable time, I refund the part of the fee that relates to it; see Payments and refunds. After go-live, the Care plan covers fixes for A$290 a month.
