Booking automation for small business.

A customer asks for a time, you check the diary, send a reply and then enter the same details somewhere else. I help connect those steps so a booking does not become another string of admin jobs.

A booking should have a clear next step.

The awkward part is often what happens after someone chooses a time. A confirmation still needs sending, the calendar needs updating and whoever delivers the work needs the right details. When a customer changes their booking, you have to remember every place you put it.

Booking automation can suit clinics and studios managing appointments, tradies arranging visits, and venues or clubs scheduling spaces and activities. I’m Matthew, based in Melbourne and working across Australia. I start with how you accept and manage bookings now, including which requests need you to approve them.

Connect the diary, confirmations and daily work.

One possible workflow is: booking accepted → online booking confirmation prepared → calendar entry created. Another might route a request to you first, then send the confirmation only after you approve it. The right sequence depends on whether the customer is reserving an available slot or asking for a time you still need to check.

The confirmation needs useful information: the agreed time, the location or joining instructions, and how the customer can request a change. I work through cancellation and rescheduling examples too, so the scope says which record changes and what happens to the original calendar entry.

A booking system for a small business should have an agreed source for availability. I check where that information lives and whether your tools can share it. I can look at Xero, MYOB, Google Workspace, Shopify and booking or job apps. I check what your tools support before agreeing the scope.

Choose the booking job that keeps repeating.

Bring an ordinary booking and one that changed after confirmation. Those examples help identify the trigger, the information to pass on and the cases that should come back to you. You also decide who needs to see the booking details to do their work.

The First Automation offer below can fit one agreed booking workflow. If several handovers need connecting, the Ops Pack and other offers are there to discuss. Read Payments and refunds for the payment and refund terms before starting.

A clear scope. A fixed price.

One workflow, end to end

First Automation

A$990 fixed

Pick the admin job that costs you the most time. I automate that one workflow end to end, test it with your real examples and give you a short handover guide.

Paid upfront. Live in about a week from payment and receiving the access and information I need. Includes setup and one round of fixes.

For example: a finished job becomes an invoice drafted in Xero, or a booking becomes a confirmation and calendar entry.

From the annoying job to a working tool.

  1. 1. Tell me

Show me what you do now. A free call helps me understand the job and whether a single automation, the Ops Pack or a scoping session fits.

  2. 2. I build

I agree the scope and price with you, then build it. You check it with real examples before it goes live.

  3. 3. It goes live

I hand over the working tool and a guide, with a follow-up check-in at an agreed time.

Straight answers.

Do I need to replace my booking app?

I check what the existing app supports first. Whether it can provide the information and actions needed is part of agreeing the scope.

Can a booking wait for my approval?

That can be the intended workflow. Show me which bookings you accept straight away and which need a person to check the request before confirmation.

What happens when someone reschedules?

The scope needs to say how the old time is released, which calendar entry changes and whether a fresh confirmation is needed. I check those steps with your examples.
