Invoice automation for small business.
The job is finished, but the invoice is still on your to-do list. I help turn the details you already have into an invoicing workflow, so you can stop copying the same information after hours.
Tell me what's eating your timeGet the finished job out of your notebook.
You might have the customer in one place, job notes in another and the amount to charge in a message. Before an invoice can go out, you have to find everything again. That handover is the starting point: where the job becomes ready to bill, what information is needed and who checks it.
Invoice automation suits tradies moving from completed jobs to billing, studios invoicing agreed work, and venues or clubs with repeat admin. I’m Matthew, based in Melbourne and working with businesses across Australia. The scope starts with your actual process, including the exceptions you handle manually.
What an invoice workflow could do.
A possible workflow is: job marked done → invoice drafted in Xero → you check the draft → an agreed reminder if it remains unpaid. This is an example to scope, not a promise that every job app supports every step. A draft can leave you in control of the final amount and whether to send it.
Before building, I check where customer details, job references, line items and payment status come from. I also ask what should happen if a job is marked done twice, a customer record is missing or the amount changes. Those cases need a clear outcome rather than another invoice you have to undo.
For Xero invoice automation, the useful question is what your current job records can reliably supply. I can look at Xero, MYOB, Google Workspace, Shopify and booking or job apps. I check what your tools support before agreeing the scope.
Start with one clear handover.
Bring a typical completed job and an awkward one. Together, they show what can follow a rule and what needs your decision. The agreed scope identifies the trigger, the draft or other output, and where you can see anything that needs attention.
The First Automation offer below is for one workflow end to end. If invoicing is part of a wider process, compare the other automation offers before deciding what to include. Payments and refunds explains the payment and refund terms.

Pick the admin job that costs you the most time. I automate that one workflow end to end, test it with your real examples and give you a short handover guide.
Paid upfront. Live in about a week from payment and receiving the access and information I need. Includes setup and one round of fixes.
For example: a finished job becomes an invoice drafted in Xero, or a booking becomes a confirmation and calendar entry.

1. Tell me
Show me what you do now. A free call helps me understand the job and whether a single automation, the Ops Pack or a scoping session fits.
2. I build
I agree the scope and price with you, then build it. You check it with real examples before it goes live.
3. It goes live
I hand over the working tool and a guide, with a follow-up check-in at an agreed time.

Straight answers.
Will invoices go out without me checking them?
That is a scope decision. A workflow can stop at a draft for your review. I agree the point at which you approve an invoice before building it.
Can reminders stop when an invoice is paid?
That depends on the payment status available from your tools. I check that source and agree how paid, overdue and changed invoices should be handled.
What if some jobs need different invoice details?
Show me those examples early. An exception can be left for you to review rather than forced through the same rule as a straightforward job.
